New 1. Transferring parental leave Why Parents are entitled to parental leave until their child’s 8th birthday. As of August 2022, an employee may take 9 weeks of paid parental leave up to one year after their child’s birth. If an employee does not use all their paid parental leave, they will still be entitled to their unused hours in the form of unpaid parental leave. This is because parents are entitled to a maximum of 26 weeks of parental leave: 9 weeks of partially paid parental leave and 17 weeks of unpaid parental leave. This means that unused paid parental leave must be converted into unpaid leave in HR Core Business.  How As of release 2022-11, HR Core Business will automatically determine whether an employee who requests parental leave has expired paid parental leave and/or whether this should be converted into unpaid parental leave. This ensures that users no longer have to make their own calculations. The leave overview shows you how many hours of paid and unpaid parental leave an employee has left and when these hours expire. This makes it easy to check how much parental leave an employee can request.  If an employee’s paid and unpaid parental leave have both expired and they try to request parental leave for the same child, the system will not process their application.  Action  No action is required. HR Core Business will automatically determine whether an employee who requests parental leave has expired paid parental leave and/or whether this should be converted into unpaid parental leave.  Please note: if no value has been entered for the parental leave type Parental leave entitlement based on child, paid leave will not automatically be converted into unpaid leave. 2.  Having parental leave automatically deducted As of release 2022-11, it is possible to have parental leave automatically deducted. Statutory and non-statutory leave can also be deducted automatically. This means organizations no longer have to make their own parental leave calculations or determine which type of parental leave employees are entitled to. The system will do this automatically if you enter the right value under Parental leave entitlement based on child in HR Core Business.  How to Set It Up If you want to use automatic parental leave deduction, you need to adjust a number of settings in HR Core Business. Please follow the instructions below. Settings > Leave > Leave policy You must assign different levels of priority to the parental leave types Parental leave (paid 1 and 2) and Parental leave (unpaid). When an employee submits a leave request, the leave type with the highest priority will be deducted first. For parental leave to be automatically deducted, you must also add the leave type Parental leave (automatic) to the leave policy. Please use the following settings for this leave type:  Leave entitlement = 0 hours Priority = 99 (not relevant for this leave type) Parental leave entitlement based on child = Automatisch OSV OSV = OuderSchapsVerlof: Automatisch OSV = Automatic parental leave Maximum negative = 0 If the value Automatisch OSV is entered, the system will use this leave type to deduct the leave types for which a value is defined under Parental leave entitlement based on child.  Please note: if no value has been entered for the parental leave type Parental leave entitlement based on child, parental leave will not automatically be deducted. This functionality is only applied to leave types for which a value has been entered in this field.  In Practice An employee can submit a leave request using the leave type Parental leave (automatic) in HR Self Service or directly in HR Core Business. The system will then use the priority values and expiration dates to determine which leave type to deduct first. If the highest-priority leave balance is zero, the system will automatically deduct leave with a lower priority level.  Action Use the instructions above to set up automatic parental leave deduction in HR Core Business.  Set up the leave type Parental leave (automatic) for the relevant processes in Self Service.  Modified and Improved 3.  WAO/WIA registration cannot be removed Why The WAO/WIA registration screen had the following mandatory fields: 7606 WAO/WIA class 7607 Reason for claiming benefit This made it impossible to remove an incorrectly filled out WAO/WIA screen. The problem has been resolved by making these fields optional. How Employee > Illness > WAO/WIA registration  As of release 2022-11, every field in the WAO/WIA registration screen is optional, making it possible to remove values from the fields. Everything else still works the same way. Action If employees have been incorrectly recorded with a WAO/WIA registration, you can now clear these fields in the WAO/WIA screen. You can do this by clearing the individual fields or by clicking the Clear button. 4.  RVM redelivery renamed to Redelivery RVM As of this release, the menu option RVM redelivery and the RVM redelivery screen have been renamed to Redelivery RVM.  How  Management > Data exchange > Redelivery RVM The menu option and the screen itself have been renamed, but everything else still works the same way. Action No action is required.  Solved Messages 5.  Desired source date type not included in list (change 3733800) Notification Settings > Active signaling > Define signal Alternative names for data elements were not included in the list for the Source date type field.  Solution The list for the Source date type field showed the official name of the data elements instead of the alternative names that had been assigned to these elements. As of this release, the list also shows the alternative name (if an alternative name has been assigned). Alternative names can be assigned under Settings > Recording > Alternative names. Action  No action is required. 6.  Self Service – Changes in Self Service not being exported to HR Core Business (3786931) Notification A few weeks ago, an error in our program caused an issue with processing Self Service changes. Changes in Self Service were no longer exported to HR Core Business. As a short-term solution, we quickly reversed the IKV modification that caused the error so that the changes in Self Service could be processed. Solution We have modified the November release to eliminate this error.  Action  No action is required. 7.  Deleting a child’s data from Self Service (3842585) Notification A child’s data can be removed from HR Core Business using Self Service. However, if additional parental leave has already been registered for the child, the child’s data cannot be removed. Users should receive a notification to let them know their request could not be processed.  Solution We have added a notification informing the user that the child’s data cannot be removed because additional parental leave has been registered for the child. This ensures that users are aware that their change has not been processed.  Action  If you are unable to remove a child’s data at your organization, you must first remove any additional parental leave. Once this has been removed, the child’s data can be removed as well.  8.  Unable to see blocked collective holiday when opening leave request (3901430) Notification Users who opened a leave request for a blocked collective holiday were not able to see that this day was blocked. Solution As of this release, users who open a leave request for a blocked collective holiday will see a check mark next to the Collective leave blocked field. User will also be able to use the new Unblock leave button at the bottom right of the screen to unblock these days. Clicking on this will reallocate collective leave according to the employee’s work schedule.   Action No action is required.

Solved message End button in Organizational unit screen not displayed correctly (3922507) Notification In the Organizational Unit screen, the End button (Beëindigen) was not displayed correctly. Solution We've adjusted the End button so that it will display properly again from release 2022-12. Action No action is required.

Modified and Improved The number of characters was not checked when importing values list Why A function value may consist of 10 characters at most. When a new function is created using Values list the system checks the number of characters. However, the import function did not, and function values or codes consisting of more than 10 characters could be created. This caused errors in underlying systems as well.  How Settings > Recording > Values list As of this release the number of characters of new function codes is checked at import. If there are more than 10 characters, the code is not created.  Action No action is required.  The Define signal screen has been improved Why The filter in the Define signal screen did not work and the screen froze when the Periodic search field was selected.  How Settings > Active signaling > Define signal As of this release the screen has been modified and improved: the filter can be used without the screen becoming frozen.  Action No action is required. Right to parental leave is calculated at an earlier stage Why The right of an employee to parental leave was calculated when it was applied for. Employees could not check their right of leave when leave was requested for the first time. That is why the right to parental leave can now be calculated earlier. How Employee > Employee > Child data The Take parental leave field is now included in the Child data screen. If Yes is specified, the system immediately calculates the right to parental leave for all types of parental leave available in the company’s leave plan. As of 2 August 2022 this will usually be Paid parental leave 1 and Unpaid parental leave. The current method where parental leave is calculated when leave is requested will remain available.  Note When the Take parental leave field is set to No the right of leave is removed again. This may be necessary should an employee change their mind and decide not to take parental leave. Make sure the leave request is revoked. Where Unpaid parental leave is concerned, the BedrijfsCAO level may indicate 26 weeks of parental leave left, with an age limit of 8 years. If this is the case and the OSV factor in the HR parameters screen is changed to 17 weeks, the system still uses 26 weeks. To resolve this, the value at the BedrijfsCAO level must be removed. Submit a ticket for this. In the short term we want to create a separate screen that provides access to these fields so they can be modified.  Action HR Core Business: if OSV factor and Age limit unpaid are set to the BedrijfsCAO level, a ticket should be submitted to resolve this.  HR Self Service: the Take parental leave element can be added to the locations where child data is registered. Solved Messages  HR links not visible in HR Core (3556963) Why As of the April release the person level of the organization can be activated using the HR links screen. This screen is not accessible to everyone, which is why as of this release the person level can also be activated using the Parameters UPI/Identity screen.  How Settings > Recording > Parameters UPI/Identity The Person level active option and the Allocate UPI field have been added to the ‘Parameters UPI/Identity’ screen. Activating or deactivating the person level: When the Person level active option is selected, the person level is activated for the current client. Note: when the Person level active option is selected and next deselected, the person level is deactivated for the current client. Employees and persons are no longer synchronized when this option has been deselected. The Allocate UPI field can be used to search for a person using the following linking methods:  Social Security Number (BSN) only Social security number (BSN), birth name and date of birth In other words, the system always searches for the Social Security Number (BSN) first to determine whether a person with the same BSN is available. If the BSN, birth name and date of birth search method is used, the system checks if the entered employee can be linked to a person based on initials + last name + date of birth. Employees are always linked to a person in the following situations.   Situation Employee with Social Security Number (BSN) Person with Social Security Number (BSN) Will a unique link be created? A No No Yes, by last name, initials and date of birth B Yes No Yes, by last name, initials and date of birth C No Yes Yes, by last name, initials and date of birth D Yes Yes Yes, by Social Security Number Checks A number of steps must be performed before activating the person level. See the information at the ‘Person level active’ option in the Online Help topic ‘Screens and fields > Settings > Data exchange > HR links’. Information about the ‘Proposed UPI’ report is available in the Online Help topic ‘Screens and fields > Reports > Personnel management > Proposed UPI’. Action When the person level of the organization is to be activated, follow the above steps and consult the Online Help for information on the Proposed UPI report and inconsistencies therein. Processing report of Person level conversion When the person level has been activated (as client and/or consultant) using Parameters UPI/Identity, the conversion starts as of 5.30 pm. How much time the conversion takes depends on the number of employees of a client. The conversion of clients with a maximum of 5000 employees takes approximately one hour. When the conversion is complete, the processing report is stored under Shared reports. Note: this report is visible at client level. Select the client without the company in the navigation path at the top of the screen.   If the first tab in this report is empty, all employees with a UPI are linked to a person. If the first tab in this report contains employees, they could not be linked to a person because, for example, there are two employees with the same UPI but with different last names.  Action If the first tab in the processing report contains employees, the Proposed UPI report must be generated to consult the remarks included therein. Correct the employees concerned and deactivate and next reactivate the Person level active option as described above. The conversion starts again after 5.30 pm and the missing persons will be created. A new processing report will be generated when the conversion has been completed.  Employee linked to multiple persons (3592360) When an employee is created with a UPI and the person level is activated, the UPI becomes the person code. In principle each employees gets a unique UPI and person code. However, when an employee already exists, the existing UPI is searched for based on the Social Security Number (BSN) and linked to the new employee. As a result one person has two employees. This concerns the same person with multiple employments at the organization.  Sometimes an employee who is employed a second time is assigned a unique UPI and is, therefore, linked to a new person. This can be resolved using Employee > Person > Change UPI. Situation When an existing employee with start date 1-1 is linked to a new employee with start date 1-7 using the ‘Change UPI’ option, the UPI and person are unlinked at the existing employee for the 1-1 to 1-7 period. As of 1-7 the existing employee is again linked to the new person. This ensures that changes prior to 1-7 are not applied to the new employee as well. The existing person, who has no linked employees, is removed. This ensures no employee is linked to two persons. Action No action is required.

Opgeloste melding AVG verwijderen - niet alle geselecteerde medewerkers werden verwijderd (5378624) Melding Workflows > Uitstroom > Wissen persoonsgegevens (AVG) Niet alle medewerkers die waren geselecteerd in het scherm Wissen persoonsgegevens (AVG) werden ook daadwerkelijk verwijderd. Als een medewerker tijdens zijn dienstverband deels in het buitenland had gewoond, ging het verwijderproces niet goed. Bij het anoniem maken van de gegevens worden gegevens zoals postcode, omgezet naar een niet te herleiden postcode. Dit ging echter fout met de combinatie buiten Nederland. De medewerker kwam dan niet meer voor in de lijst met te selecteren medewerkers, maar was niet verwijderd. Oplossing We hebben dit opgelost door het Land ook weer naar Nederland weg te schrijven, zodat het anonimiseren van de postcode weer klopt met het land. Hierdoor worden ook deze gegevens op de juist manier geanonimiseerd en wordt de medewerker wel verwijderd. Actie Er is geen specifieke actie nodig. Vanaf deze release zal het verwijderen alsnog plaatsvinden. Voor nieuwe situaties zoals hierboven beschreven, geldt dat het verwijderen voortaan correct plaatsvindt.

Gewijzigd en verbeterd Importdefinitie HR gegevens Opgeloste meldingen Helptekst aanpassen: AVG verwijderen, woonland, nationaliteit en burgelijke staat niet correct. change 5872238 Waardenlijst werk niet goed via het inloggen middels 'Mijn YouServe' (change 5872226) (Hotfix 18-03-2024) Niet mogelijk om gegevenselement te voorzien van een alternatieve omschrijving via het inloggen middels 'Mijn YouServe' (change 5898487) (Hotfix 18-03-2024) Foutmelding bij het toekennen van collectieve dagen(change 5594321) Gewijzigd en verbeterd  Importdefinitie HR gegevens Waarom  Voor de vereenvoudiging van het inlezen van de Kamer van Koophandel nummer in HR core op het niveau Organisatorische eenheid, is de KvK nr toegevoegd aan de Import definitie Importeren Organisatorische eenheden. Deze optie is gemaakt omdat voor de aangifte CO2 het van nodig is dat de KvK nr op de juiste niveau is vastgelegd om zo de medewerkers te kunnen groeperen. Hoe Menu bijvoorbeeld: Beheer > Import/Export > Import definitie HR gegevens Met deze menu keuze kan bekeken worden, welke gegevens elementen voor een gekozen entiteit zoals organisatorische eenheden welke gegevens elementen kan worden geïmporteerd. Met behulp van de menu optie Beheer > Import/Export >Aanmaken Excel bestand (Consultant) wordt dan een export template aangemaakt waar vanaf deze release ook de KvK nr staat. Bij het importeren van deze excelsheet (wel in csv formaat), kan dan in het veld KvKnr de nummer gezet worden voor zover deze afwijkt van de KvK nr op klant niveau. Actie Indien het niveau organisatorische eenheden het niveau is waarbij medewerkers voor de CO2 aangifte gegroepeerd kunnen worden, via deze weg kan voor verschillende Organisatorische eenheden de KvK nr's worden ingelezen.  Opgeloste meldingen Helptekst aanpassen: AVG verwijderen, woonland, nationaliteit en burgerlijke staat niet correct. change 5872238 Melding Workflows > Uitstroom > Wissen persoonsgegevens (AVG) Bij het verwijderen via de functionaliteit Wissen persoonsgegevens (AVG) worden niet alle velden leeggemaakt.  Oplossing De velden burgerlijke staat, nationaliteit en woonland worden op een standaard waarde gezet omdat dit een verplicht veld is. Om deze reden worden deze velden niet leeggemaakt.  De online help is met deze informatie aangepast.  Actie Er is geen actie nodig.  Waardenlijst werk niet goed via het inloggen middels 'Mijn YouServe' (change 5872226) (Hotfix 18-03-2024) Melding Via het inloggen via 'Mijn YouServe' was het niet mogelijk om een waarde toe te voegen in de waardenlijst. Nadat op het icoon met de diskette (opslaan) geklikt werd gebeurde er geen vervolgactie.  Oplossing Er is een aanpassing gedaan zodat het mogelijk is om via de nieuwe manier van inloggen de wijzigingen in de waardenlijst op te slaan.  Actie Er is geen actie nodig.    Niet mogelijk om gegevenselement te voorzien van een alternatieve omschrijving via het inloggen middels 'Mijn YouServe' (change 5898487)  (Hotfix 18-03-2024) Melding Via het inloggen via 'Mijn YouServe' was het niet mogelijk om een alternatieve omschrijving op te zoeken, zodat deze aangepast kon worden.    Oplossing Er is een aanpassing gedaan zodat het mogelijk is om via 'Mijn YouServe' een gegevenselement op te zoeken en vervolgens de alternatieve omschrijving op te geven.  Actie Er is geen actie nodig.    Foutmelding bij het toekennen van collectieve dagen(change 5594321)  Melding In sommige situaties kon het voorkomen dat na het toekennen collectief verlof er een onduidelijk melding verscheen in het verwerkingsverslag, ondanks dat het collectief verlof wel correct was toegekend.   Oplossing De programmatuur is aangepast waardoor in het verwerkingsverslag duidelijk wordt aangegeven indien er een fout is opgetreden.  Actie Er is geen actie nodig.

Opgeloste meldingen Collectief verlof toegekend aan medewerker zonder verlofregeling (4773615) Medewerker > Verlof > Opgenomen verlof Instellingen > Verlof > Collectief verlof Melding  Bij het toekennen van collectief verlof, is er ook een verlofdag toegekend aan medewerkers die niet aan een verlofregeling zijn gekoppeld.      Oplossing Vanaf release 2023-12 is dit opgelost. Bij het invoeren van collectief verlof in HR Core Business, wordt aan medewerkers zonder verlofregeling geen verlof toegekend. Actie Als in jouw organisatie aan een medewerker zonder verlofregeling, toch een collectieve verlofdag is toegekend, dan kan je dit op 2 manieren herstellen:  Door de collectieve verlofdag via Instellingen > verlof > Collectief verlof te verwijderen en opnieuw in te voeren  OF Door bij de betreffende medewerkers via Medewerker > Verlof > Opgenomen verlof de betreffende verlofaanvraag te verwijderen

  Solved message Employee > Illness > Illness Percentage sick remains 100%, while recovery date has been entered Message It was possible to adjust the Percentage sick of a recovered employee. This is incorrect and was the cause of passing incorrect information in the reports and to other systems/parties. Solution As of release 2023-09 this has been fixed. If the recovery date has been entered in HR Core Business, it is no longer possible to delete or adjust the sickness percentage. This applies to all changes you enter in HR Core Business, HR Self Service or via an import. If you need to restore the Percentage sick after the recovery date has been entered, you must first clear the recovery date. You can then adjust the sickness percentage and report the employee recovered. Action No action is required.

New 1.  Added extra block Reduced leave hours to the Leave balance screen Why Employees who take unpaid leave do not usually accrue leave entitlements during their unpaid leave. This means that taking unpaid leave, such as unpaid parental leave or a sabbatical, reduces the basic entitlement to Statutory and Extra-statutory Leave.  In HR Core Business, you can configure unpaid leave in such a way that when it is requested, the basic entitlement to specific other leave types is reduced automatically. To visualize these deducted hours, we have added the Reduced leave hours block to the Leave banlance employee screen. How Employee > Leave > Leave balance When accessing the Leave balance screen for an employee who has requested unpaid leave, and the leave scheme states that such unpaid leave means a reduction of leave entitlements for one or more other leave types, the Reduced leave hours block shows the following: For which leave types the basic entitlement has been reduced How many unpaid leave hours the employee has taken Please note: The information in the Reduced leave hours block is not forwarded to Management Information. We only forward the calculated final balance to Management Information. The Reduced leave hours block contains the following data. Leave type Leave type that is reduced. Basic entitlement The original basic entitlement for the leave type prior to the deduction. Basic entitlement reduction The reduction of the basic entitlement based on the number of unpaid leave hours taken by the employee.  Basic entitlement remaining The remaining leave after the basic entitlement is reduced. Basic entitlement age If applicable, original basic entitlement to age-related hours. Reduction of age The reduction of the basic entitlement to age-related hours based on the number of unpaid leave hours taken by the employee. Remaining age hours The remaining leave after the basic entitlement to age-related hours is reduced. Basic entitlement years of service hours If applicable, original basic entitlement to years of service hours. Reduction of years of service hours The reduction of basic entitlement years of service hours based on the number of unpaid leave hours taken by the employee. Remaining years of service hours The remaining leave after the basic entitlement to years of service hours is reduced. Action If an employee has already taken unpaid leave and the Reduced leave hours block is blank on opening the screen, click the Recalculate button once. 2.  Set up new feature for leave reduction Why Since August 2022, the law states that employees can take parental leave in the form of part paid and part unpaid leave. To support this correctly, we have ensured that when unpaid leave is taken, the basic right for specific leave types is reduced automatically, if configured correctly. How Settings > Leave > Leave scheme In a leave scheme, you can configure leave in such a way that when unpaid leave types (source) are taken, the basic entitlement to associated regular leave types (target) is reduced automatically when an employee applies for unpaid leave. Source and target: the unpaid leave type, such as unpaid parental leave, a sabbatical or unpaid long-term leave, that reduces the basic entitlement is called the source leave. The associated leave type for which the basic entitlement is reduced, is the target leave. Example You want a specific unpaid leave type to be the source that causes the basic entitlement to Statutory and Extra-statutory Leave to be reduced. Source: unpaid leave type Target: reduce leave type basic entitlement to Statutory and Extra-statutory Leave Target: reduce leave type basic entitlement to Statutory and Extra-statutory Leave You do this as follows: Go to the Leave Scheme and activate the option Consequences for accrual leave on the Basic rights tab under the unpaid leave type (source). When you click Save, you will see the Leave reduction tab. This tab shows all of the leave types in the leave scheme that are not linked to parental leave because a value has been entered in Parental leave right based on child. The unpaid leave type you are using as the source is also not shown on the Leave reduction tab. On the Leave reduction tab, tick every leave type (target) for which you want to reduce the basic entitlement in the Reduce column. This automatically reduces the basic entitlement for this target leave type when the unpaid source leave type is taken. New reports 3.  Report HR configuration overview From this release onwards, the new report HR configuration overview is available. It contains information on how leave schemes are set up in HR Core Business. The overview is always an Excel file that is generated for each customer. So you will see the set-up at the corporate level for all companies that are part of a customer.  How Reports > Settings > HR configuration overview The HR configuration overview screen allows you to request the following reports. All reports are ticked by default when you open the screen. Active leave year Special leave Reduce leave entitlement Leave link payroll Leave scheme  Work pattern The Excel file contains a tab showing the set-up for each overview. The names and order of the overviews on the screen may differ from those in the Excel file. The report does not contain a list of the registration per employee. More information can be found from release 2023-01 in the online help, topic Overzicht HR inrichting, and in the chapter Rapport - Overzicht HR inrichting of the Handleiding ouderschapsverlof (Parental Leave Manual) which you can download from the community. Action Request this report if you want to know how leave is set up in HR Core Business, including intervals from the past. 4.  Report Overview leave entitlement From this release onwards, the new report Overview leave entitlement is available. This report shows leave composition per employee for all companies that are part of a customer. Among other things, you can see for each employee by which company their salary is paid, their basic entitlement, leave taken, and remaining leave. How Reports > Personnel management > Overview leave entitlement Open the Overview leave entitlement screen. Enter the required Reference date and click Create report. View the report in My reports. Select a Reference date in the Overview leave entitlement screen. Depending on the leave scheme set up, the system checks the leave year in which the reference date falls when generating the report. If you enter the reference date 15-7-xxxx, for instance, and the leave year runs from 1 January xxxx through 31 December xxxx, you will see the leave balance for all employees for the year xxxx. If it is a broken leave year that runs from 1 July xxxx (previous year) through 30 June xxxx (current year), the leave year is shown from 1 July. More information can be found from release 2023-01 in the online help, topic Verlofsaldo. Action Keep in mind that we pass on the calculated final balance to Management Information (MI). This report shows how the calculated leave balance is established.

Modified and improved New way to select elements in the Selection property HR screen Why Because Management Information (MI) is being replaced by Your Data Service, we have modified the selection of elements in the Selection property HR screen as a preparation for this. How Settings > Data entry > Selection property HR In the Selection property HR screen, choose Datafeed in het Selection property field; this is the only value. Then select the desired entity from the list in the Entity field. Once you've chosen an entity, you can select all data elements that can be maintained with that entity to add to the Data Service. The new search screen offers extensive options for searching data elements.     Group characteristic field Only the Group characteristic field is not a search field, with this you indicate which group characteristic you want to link to a group of elements. If a group characteristic is linked to a group of data elements, these data elements will be bundled in a folder within the entity per group characteristic when the data service is exported. Modified and Improved 1.  Age-related leave without basic entitlement did not provide expiration date (change 4257594) Why If you configure a leave type  with basic entitlements and special rights such as Age-related Hours and/or Seniority-related Hours in a leave scheme, an expiration date will be set for all the hours in the Leave balance screen, provided this has been configured. In basic entitlements, if you have the Leave entitlement per year field set at 0 and special entitlements are configured, then no expiration date was provided for the special leave entitlements. An expiration date was shown only if you left the field Maximum negative empty. Since this is not the way it should function, we modified the software. How Settings > Leave > Leave scheme As of the 2023-04 release, the software has been modified to ensure that this error no longer occurs. In future, special leave rights without a basic entitlement will also be assigned an expiration date. Action If the expiration date is missing from special rights in your organization, you can adjust the leave year. After recalculation of the leave year, you will then be able to see that special leave rights have also been assigned expiration dates.  Solved Messages 2.  Import UPI without value Message If in an import file the Unique Personal ID (UPI) was emptied and another field modified slightly, the UPI at the person level was also emptied but the links of the employee and person remained. If you then tried to enter the UPI again using the Change UPI screen, the system would display the error message that the person code already exists, which is correct because the person has not been terminated. This issue was due to the UPI being emptied for the person and all the underlying employees. We have therefore modified the software so that it is no longer possible for a person’s UPI and the UPI of all the underlying employees to be emptied, while maintaining the link between the person and employees. Solution In HR Core Business, you can solve this manually by entering the UPI yourself for the Person. This is not possible in the Person screen however, because the Person code field – where you have to enter the UPI – is a read-only field. This can be resolved by creating a free screen where you insert the fields Unique Personal ID (UPI) and Person code, as described below. Action Settings > Data entry > Define custom screens Open the screen Define custom screens and click Add  at the top right. Choose the level, preferably Client, via Type of target group and Target group and click Confirm. Enter a name in the field The Netherlands, for example: Free screen - Person In the Data type field, select Person and click Save. Settings > Data entry > Expand screen Open the Expand Screen screen and fill in the Type of target group, preferably Client, and the Target Group. In the Screen field, select the free screen you just created, which would be Free screen - Person in this example, and click Refresh. Successively search for the elements Person code and Unique personal ID (UPI) using the field Screen element and add them to the screen. Using a new custom screen for entering UPI Employee > Employee > Custom screens Select Employee > Employee > Custom screens and choose your company. This screen starts at the employee level by default, so you cannot select a person right away. This is an inconvenient feature in the application. Select the Free screen - Person screen and click Confirm. Click Add  at the top right. Find the correct person. You can search by Person (= default) or by Person code. Select the person by double-clicking on them. You will now see the Unique Personal ID (UPI) field and Person code fields on the screen. You can enter the UPI again in these fields yourself at the Person level.

Modified and improved  1. New leave request end date Why Sometimes it is necessary in the case of a leave application that has been requested for a longer period to bring forward the end date, for example if: the employee's contract hours have changed as of a certain reference date the employee leaves employment a personal situation changes the leave request Therefore, as of this release, it is possible to change the original end date to an earlier end date. This functionality allows you to shorten an existing leave request:  this means that the new end date cannot be before the start date of the leave request and never after the original end date.  How Employee > Leave > Leave request On the screen of an existing leave request, you will now see the New End Date button at the bottom right, which will call up a pop-up screen where you can specify a new earlier end date.  After entering a new end date, you will see that the system has adjusted the End Date and the Leave (units) under Details. If you then click the Save button in the Leave request screen, you finalise the new end date and see that the system has adjusted the leave balance under Leave balance hours. As long as you haven't clicked Save, you can enter an even earlier end date via the New end date button or undo the date changes via Cancel. Please note: this functionality is not yet controllable via Self Service.  Action No action is required. More information can be found from release 2023-03 in the online help topic Leave request, chapter 6. Nieuwe einddatum verlofaanvraag.    Solved messages 2. Deleting person data GDPR (change 4130177) Message Outflow > Erase person data (GDPR) After going through the steps in the online help topic GDPR Erase person data (AVG wissen persoonsgegevens), we still saw data in the Ad-hoc report (extended) of employees that were to be deleted. Solution As of release 2023-02, we have updated the software so that this error no longer occurs and the employees are removed. Action No action is required. After the delivery of release 2023-03, all employees that still had to be removed will yet be removed.

Announcements New Tax Declaration from 2023  It was already indicated in the January release that from 2023 we will make the sending of tax declaration files part of Payroll Business. For you as a customer, this means an entirely new way of handling and sending tax declaration data. This means that all teams are working hard to make this happen and that besides this new tax declaration we are not taking on any other issues, except for important changes. Updates new Tax Declaration We will keep you informed of the progress of the new tax declaration through the message Status nieuwe Loonaangifte Payroll Business (Status of new Payroll Business tax declaration). Subscribe to this post so you don't miss any updates. Release sessions In the release session of January 10, we informed you in detail about the new tax declaration. Modified and improved Leave balance Why The Hours per period data element has been added to the Leave balance screen. This allows you to quickly see how many hours an employee works per period and check whether the leave balance is correct. How Employee > Leave > Leave balance  In the Leave balance screen, you will now see the data element Hours per period at the top of the screen with the employee data. The number of hours you see is taken from the Employment contract screen. Action No action is required. Solved messages Duplicate child data in system (change 4130490) Message If changes to child data were offered from HR Self Service or new child data or contact persons were added, the data of existing children and contact persons were saved again. As a result, this data was duplicated in the system. Solution As of release 2023-02, we have updated the software so that this error no longer occurs. Action If there are duplicate children or contacts in HR Core Business, we recommend removing them manually.

New 1.  Overview Selection properties HR added to report Overview HR Configuration Why In HR Core Business, you can enter the data elements needed for Data as a service. This API only passes on those data elements by entity and file name that are configured in HR Core Business. If you want to see how this configuration looks, you can create the overview Selection properties HR using the report Overview HR Configuration. The tab Selection properties HR is then added to the Overview HR Configuration, with an overview of the HR selection property Data feed. There, you can see the selected data elements for each entity and possibly also the file name to which these data elements should be assigned. The file name in HR Core Business is ‘group attribute’. How Reports > Settings > Overview HR Configuration You can request the Overview Selection properties HR as follows: Open the Overview HR Configuration screen. Make sure a check is placed next to the option Selection properties HR and click Create Report. The Excel file containing the overview can be found in My Reports. The overview lists all the entities and data elements entered using Settings > Data entry > Selection property HR. Action Settings > Data entry > Selection property HR Reports > Settings > Overview HR configuration The screen Selection Property HR can be used if you want to use the feature for entering HR selection properties. You can then view this configuration in the report Overview HR configuration, tab Selection properties HR. 2.  New screen Taken leave in calendar form Why In HR Core Business, you keep records of every employee with a leave scheme and who can take leave. A new screen Taken leave has now been added next to the screen Remaining leave, where you can see the leave status. This shows in calendar form when the employee took leave, and for how many hours (or units). It also displays the number of hours taken according to leave type as well as an overview of leave requests. How Employee > Leave > Taken leave The screen Taken leave shows an employee’s approved taken leave for the selected leave year. The screen consists of the following sections: Calendar This shows the number of hours taken according to leave type by month and day. Colors in the calendar: Blue = public holiday. If hours are booked on that day, this section is simply colored white. Light gray = weekend Dark gray = days not in the month, e.g. February from the 28th or 29th. Taken hours This shows the total number of hours taken according to leave type. Leave request An overview of all leave requests, showing for each leave request whether the hours taken are broken down according to different leave types. The following information is shown for each leave type for which hours have been deducted: The date of the leave request, the status, whether the leave type was automatically deducted, whether it is collective leave Start and end dates: the first and last days of a leave type for which leave is taken in the leave request. Note: the screen Remaining leave shows also a start date and end date for the leave request; these are the start and end dates of the leave request. Hours: total number of leave hours per day of the leave type. Where leave hours are booked automatically, this may be a fraction. Reason for leave: if a reason was given in the leave request, it is shown here. Action No action is required. 3.  Block collective leave in HR Self Service Why In HR Core Business it is possible to grant collective leave. All employees are then granted leave on the same day, which is deducted from their statutory leave entitlement. There are occasions when an employee cannot take advantage of collective leave, due to urgent work that must be performed, for example. This collective leave could be blocked using the special feature in HR Core Business. This was not yet possible in HR Self Service. We have therefore included a feature enabling you to block collective leave for an employee in HR Self Service also from release 2023-06.  How HR Self Service > Leave > Cancel leave > Authorization HR Core Business > Leave Request In HR Self Service, the employee can use the workflow Cancel leave to block collective leave. Once you have clicked the Cancel leave tile, the processed leave requests are shown. Click the  icon at the end of the collective leave line, then click submit. This will not delete the collective leave, but only block it so that the collective leave hours are not deducted from the employee’s remaining leave. In HR Core Business, once the change has been processed you will see that the leave request still exists but is blocked. In HR Self Service, the collective leave will no longer be displayed for that employee. Note! In exceptional cases, collective leave that was previously blocked may be blocked again if it turns out that the employee does not need to work on the collective day off after all. It is then no longer possible to unblock this in HR Self Service. In HR Core Business, it is possible to unblock the collective leave again, although this may not be passed on correctly in HR Self Service. We therefore advise you not to perform this action. In a future release, we will ensure that unblocking collective leave also is properly passed on to HR Self Service. Action No action is required. Modified and Improved 4.  Selection property HR Why In the screen Selection property HR, you can enter which data elements with group attributes are required for the ‘Data as a Service’ service. We have now ensured that a data element can appear multiple times within an entity, but with a different group attribute. This allows you to include in the end result (the CSV files) the data element 24 Last name in multiple output files, for example. How Settings > Data entry > Selection property HR Open the screen Selection property HR. Add If you want to add the data element 24 Last name (again), for example, click Find element. Then select the desired entity, for example Employee. Select the data element 24 Last name, select the desired Group attribute, and click Save, followed by Close. Modify If you want to modify the group attribute of the data element 24 Last name, click the   Modify icon. In the search screen, select the desired Group attribute from the list and click Save, followed by Close. Action If necessary, check the configuration.

Solved messages Erase person data (GDPR) (change 4662244) Message In the Erase person data (GDPR) screen, a certain employee wasn't included in the list, even though this employee has been out of service for 7 years. Solution The system is working correctly. In the Erase person data (GDPR) screen, you see the employees who, based on the current date, have been out of service for 7 years AND for which it also applies that it has been 7 calendar years since the employee received a salary specification. An employee who left employment on January 1, 2016 and for whom there was still a payroll processing in January 2016, can therefore only be removed in January 2024. We have clarified this in the help text:   In the Erase person data (GDPR) screen, you see the employees who, based on the current date, have not been employed in the last 7 years AND have not received a pay slip after this time. Employees who have received a pay slip in the past 7 years are not shown in this screen.   In het scherm Wissen persoonsgegevens (AVG) zie je de medewerkers die op basis van de huidige datum in de laatste 7 jaar niet meer in dienst zijn EN na deze tijd geen loonstrook meer hebben ontvangen. Medewerkers die de afgelopen 7 jaar nog wel een loonstrook hebben ontvangen, staan niet in dit scherm.     Veld Toelichting Reference date Peildatum Based on the reference date, the employees you see in the screen have been out of service for 7 years or more and have not received any salary processing for 7 years. Adjusting the reference date does not affect the employees to be removed because the system always looks at today's date. De medewerkers die je in het scherm ziet, zijn op basis van de peildatum 7 jaar of langer uit dienst en hebben gedurende 7 jaar geen salarisverwerking meer gehad. Het aanpassen van de peildatum heeft geen invloed op de te verwijderen medewerkers omdat het systeem altijd kijkt naar de datum van vandaag. Action No action is required. Various elements not available in HR Self Service (change 4632228) Message  Various elements were not available in HR Self Service. Solution Because some elements in HR Core Business did not make it through to HR Self Service, we added the missing elements so that they become available in HR Self Service. Action In HR Core Business, a mutation must have been entered for an employee for the relevant elements. After night processing, these elements will be visible in HR Self Service the next day.

Solved message Remove GDPR - not all selected employees were removed (5378624) Message Workflows > Outflow > Erase person data (GDPR) Not all employees selected in the Erase personal data (GDPR) screen were actually removed. If an employee had lived partly abroad during his employment, the removal process did not go well. When anonymizing the data, data such as zip code is converted into a non traceable zip code. However, this went wrong with the combination outside the Netherlands. The employee then no longer appeared in the list of employees to be selected, but was not removed. Solution We have solved this by writing the Country back to the Netherlands, so that anonymizing the zip code corresponds with the country again. As a result, this data will also be anonymized correctly and the employee will be deleted. Action  No specific action is required. From this release onwards, the removal will still take place. For new situations as described above, removal will take place correctly from now on.
